How to share your project and collaborate on it with others

Project collaboration in Capsule makes it easy for multiple people to work on the same project—without worrying about overwriting each other’s changes.

With collaboration, teammates can share access, take turns editing, and always stay in sync.

How Project Collaboration Works

You can collaborate on any Capsule project, whether it’s brand new or already in progress.

To share a project:

  1. Open the project you want to collaborate on.

  2. Click the green Share button.

  3. Enter the email address and assign them "can edit" access.

Once invited:

  • The collaborator receives an email notification

  • The project appears directly in their personal workspace

Editing & Viewing Behavior

Capsule uses a controlled editing flow to prevent conflicts.

  • Multiple collaborators can open the same project at the same time.

  • Only one person can edit at a time.

  • While one user is editing, all other collaborators are automatically placed in view-only mode

  • Once in view mode you can leave comments and view the project

  • When the active editor exits edit mode, another collaborator can switch into edit mode and continue working.

This ensures changes are never overwritten and edits remain intentional.

Real-Time Updates

Collaboration stays fully in sync across users.

  • Edits made by the active editor are immediately reflected for other collaborators.

  • When viewers switch back to view mode, they’ll see the latest version of the project.

What happens if two people try to edit a project at the same time?

Only one person can edit a project at a time. If someone is already editing, other collaborators will automatically be placed in view-only mode until edit mode is released.

How do I know if someone else is editing the project?

If another collaborator is actively editing, you’ll see the project open in view-only mode and won’t be able to make changes until edit mode becomes available.

Can collaborators see changes in real time?

Yes. Any edits made by the active editor—such as adding, removing, or restoring jump cuts—are kept fully in sync. When collaborators switch back to view mode, they’ll see the latest version of the project immediately.

Do collaborators need a Capsule account?

Yes. You can only collaborate on projects with Capsule users. If the person you are trying to invite does not currently have an account with Capsule, they will need to sign up.

Can I remove someone’s access to a project?

Yes. You can manage or revoke access at any time from the Share view of the project.
