This article walks Admins through how to add users to Capsule and ensure they have the correct level of access.
Most users should be added as Creators, but some users may need Admin permissions depending on their responsibilities.
User Roles in Capsule
Before adding users, decide which role they need:
Creator (recommended for most users)
Can create and edit videos
Cannot add or remove other users
Admin
Has full Creator access
Can add, remove, and manage users
Can manage organization-level settings
💡 If a user needs to manage other users, they must be added as an Admin.
Step 1: Add the Member to Your Organization
Adding a member to your organization allows them to log in to Capsule. How to add a member to your organization:
Navigate to the Members tab in Capsule
Click Invite Members
Enter the user’s email addresses or multiple email addresses to invite in bulk
Select the appropriate permissions:
Creator for most users
Admin for users who need to manage others
Click Send Invite.
Alternatively, you can copy the invite link and drop it in a Slack channel, email thread, or any other communication channel.
Step 2: Add the User to Your Motion Design System
After the user is added to your organization, you must also add them to your Motion Design System. This step controls whether they can create videos with your branded components.
❗️Note: You might have more than 1 design system in your organization, so ensure to invite them to the correct one if this is the case. Users can also be a part of multiple design systems.
How to add a user to your Motion Design System:
Navigate to Motion Design Systems tab on your left sidebar menu
Select the design system you would like to add them to
Click +
Enter their email address
⚙️ Common Issues & Troubleshooting
User can log in but can’t create videos
Confirm they’ve been added to the Motion Design System.
User can’t add or remove other users
Verify they were added as an Admin (not a Creator).
User doesn’t appear in the Motion Design System
Make sure they accepted the organization invite.
Refresh the page and try again
